Personal Assistant to CEO (f/m/x)

We are currently looking for a Personal Assistant to support our two founders at Softseed Technologies. This role is ideal for someone who thrives on structure, discretion, and fast-paced environments. You'll have the opportunity to actively shape the daily operations of a tech start-up at the forefront of immersive live entertainment – and ensure that the leadership team operates at peak focus. This is not a stepping stone – it's a core position in our growing international setup.

Tasks

What You’ll Do

• Manage calendars, schedule appointments & coordinate international calls
• Prepare & organize meetings (internal & external), including agendas and notes
• Handle travel arrangements (flights, hotels, transfers) across multiple time zones
• Collect and organize receipts, handle travel expense reports and reimbursements
• Serve as the communication interface with partners, clients & internal stakeholders
• Maintain structure in day-to-day office operations (remote and on-site)
• Organize documents, contracts, folders & keep things where they belong
• Provide discreet, proactive and intelligent support in fast-changing situations
• Assist with event planning and coordination

Requirements

What We’re Looking For

• Excellent organizational skills and a structured, independent work style
• Fluency in English and German (spoken & written) is a must
• At least 3 years of relevant experience in executive assistance, business administration or similar
• Confidence in handling sensitive information with discretion
• Familiarity with Microsoft Teams, travel portals, expense tools, and calendar systems
• A calm, professional demeanor – even under pressure
• Proactivity, resilience, and a good sense of humor
• Bonus: experience with AI and AI agents
