Executive Assistant to the CEO (Shadow & Operations)

Role Overview We are looking for a proactive, German-speaking Executive Assistant to serve as the primary right hand and "operational shadow" to our CEO. While you will still be involved in GTM and strategic communications, your primary mission is to optimize the CEO's time, manage daily logistics, and ensure nothing falls through the cracks. You will live at the intersection of executive administration, project management, and strategic execution. Key Responsibilities Email & Communication Management: Act as the first point of contact for the CEO’s inbox; drafting responses, filtering priorities, and ensuring timely follow-ups with investors and partners. Complex Calendar & Travel: Own the CEO's schedule, prioritizing high-impact meetings and coordinating complex domestic and international travel logistics. Meeting Coordination & Shadowing: Attend high-stakes meetings alongside the CEO to capture action items and ensure absolute follow-through across all departments. Strategic Research: Conduct deep-dive research into potential partners, market trends, and industry opportunities to prepare the CEO for key engagements. DACH Region Outreach: Lead professional communications for the German market, utilizing native-level German to build relationships and support local initiatives. Document Preparation: Draft and refine materials for board meetings, investor pitches, and internal presentations, ensuring flawless professional quality. Cross-Functional Execution: Jump into operational or commercial tasks as needed, acting as a "thought extension" of the founder to improve internal reporting and workflows. Requirements Discretion: High level of integrity and confidentiality when handling sensitive investor and company information. Experience: 2–3 years in a high-growth startup. Language: Native or professional fluency in German is required. You must be comfortable handling business-critical communications in both English and German.
